UNDERTAKING

I have been given a copy of the Terms and Conditions for the hire of Staple Village Hall and agree to comply with the provisions therein.  In particular, I note the prohibitions regarding smoking and the sale of alcohol.

I enclose a cheque for the hire fee of £……….. (which includes a non-returnable booking fee of £20) together with a separate cheque for the deposit of £50 / £100  both payable to Staple Village Hall. 

I understand that I may not enter the hall before the start of the hire period.
also understand that part or all of my deposit may be forfeited if I fail to comply with the conditions of hire. (Note that the cheque for the deposit will be destroyed if the terms of the hire are complied with in full, the Hall left clean and tidy after use and all rubbish removed from site.)

TERMS AND CONDITIONS FOR THE HIRE OF STAPLE VILLAGE HALL

These Terms and Conditions of Hire form part of this agreement to hire the Hall. The Hall Management Committee reserves the right to vary, modify or add to these conditions without notice and publish such variations, modifications and additions as soon as is practical, The Committee Room is not part of this hiring agreement but may be included at the discretion of the Booking Officer.

1. Keys will not be released to the hirer unless and until the Booking Officer has received a signed Booking form and payment for the hire fee and deposit.

 

2. The Hall must be used only in accordance with the stated function and not for any other purpose. The Hall Management Committee will not accept responsibility for third party claims resulting from activities connected in any way with the hire.

 

3. The hirer is responsible for the safe use of the Hall during the hire period and shall ensure that all persons attending the function are aware of the locations of fire extinguishers and fire exits, and shall keep a list of those attending which can be used if, for any reason, evacuation of the Hall becomes necessary.

 

4. The use of naked flames and smoking are strictly prohibited in any part of the Hall. The hirer shall ensure that those attending the function comply with the prohibition of smoking in public places, provisions of the Health Act 2006 and regulations made thereafter.

 

5. No intoxicating liquor of any kind, including beer, wines or spirits, may be brought into the Hall without the express permission of the Management Committee. No excisable liquor may be sold unless an occasional licence is in force at the time. It shall be the hirer’s responsibility to obtain consent from the Committee before applying for such licence and to produce the licence to the Booking Officer at least seven days before the hire. Any breach of this condition will be reported to the Police.

 

6. Any function in the Hall must terminate at or before 11.15 pm and the Hall vacated by 11.30 pm.

 

7. No notices or decorations may be attached to the walls or ceiling of the Hall except by means of the hooks provided.

 

8. The Hall must be left clean and tidy after use, floors swept, and mopped where necessary, all lights and appliances (except the refrigerator) switched off and all fire doors and the entrance door locked on leaving. Rubbish generated in the course of the function must be removed from the Hall and/or Recreation Ground. Failure to remove such rubbish will result in part of the deposit cheque being forfeited.

 

9. The Hall Committee accepts no responsibility for any loss or damage to personal property brought onto the Recreation Ground or into the Hall. The hirer will be responsible for any damage done to the hall during the hire period and will be charged with the cost of any necessary repairs.

 

10. Cars must be parked at owner’s risk on the gravel alongside the entrance road leaving the road free for access by the emergency services. Cars may not be parked on the hard-standing inside the gate except when unloading and loading after which they should be removed to the parking area.

 

11. Bouncy Castles are subject to special insurance requirements and may not be brought onto the Recreation Ground or into the Hall without the prior permission of the Hall Committee.

A non-returnable booking fee of £20 (£35 for all day hire) is included in the above. The keys need to be collected and returned to the key-safe at the Village Hall, Staple. (The combination number will be provided prior to the date of hire).
